1. Pre-requisites to install the app

The software and hardware pre-requisites to install the free version of Bitcure VMR app are as given below.

Operating System : iOS 10 and above

Supported Devices : - iPad Pro, iPad Air 2, iPad Air, iPad mini 4, iPad mini 3, iPad mini 2

2. Installing the app

1. Go to app store and search for 'Bitcure VMR' app.

2. Install the app in your iPad.

3. New user account registration and activation process

1. Click on the Bitcure VMR icon available in the iPad.

2. In the Login screen, click on the 'Register Now' link to register a new user account as shown in Figure below.

4. Existing user Login process

1. Enter the 'Email ID' and 'Password' in the Login screen.

2. Click 'Login'.

5. Forgot Account Password

1. In the Login screen, click on 'Forgot Password' as given in the Figure below.

2. Please enter the 'registered Email ID' of your account and click 'Submit' as in Figure below.

3. You will be receiving an email with your new password. If you haven't received the email after a few minutes, be sure to check your spam or junk folder.

6. Screen Recorder - Main screen of the app

1. The main screen of the free version of Bitcure app is the 'Screen Recorder'. The different sections of the main screen are highlighted in the Figure below.

Main Menu The main menu of the Bitcure VMR app can be accessed by clicking on the icon found at the top left of the main screen.

Main Menu The quick help menu at the top left hand side of the free version of Bitcure app will provide easy access to a quick help on how to use the app.

Record button The user can start the recording by clicking on the Record button given at the top right hand side of the main screen.

Adding a drawing page The Bitcure VMR app allows the user to add a new drawing page by clicking on the sign on the extreme right hand side of the main screen.

Drawing pad The drawing pad is the section in the main screen on which the user can draw or write using an apple pen or stencil. The image that is used during the encounter is loaded in this section for the user to draw or write on top of it.

Undo or Redo The user can undo or redo the drawings made on the drawing pad by clicking on the buttons found at the top left hand side of the drawing pad.

Clear All The user can clear the drawings made on the drawing pad by pressing and holding the 'Clear All' button found at the top right hand side of the drawing pad.

Action Menu The action menu offers the user with different options that are obtained while the user long presses on the drawing page or tile. These include options to change image, Open in page, Copy tile and Remove tile. This also shows the different options to paste a tile or page copied by the user.

Camera The user can access the camera - to take a photograph or video, by clicking on the icon found at the left bottom of the main screen.

Image list The image list can be accessed by clicking on the icon found at the left bottom of the screen recorder screen. The image list section is where all the stock images of different specialties are displayed for the user to select during the encounter.
By default, all the stock images available are shown in the imagelist. The user can search for stock images for a particular specialty in the imagelist and the image list contains options to access the photos and videos available in the gallery of the device as shown in Figure below.

Drawing tool The drawing tool section contains tools that help the user to write or draw on the drawing pad. The tools include a color picker, pencil, pen and eraser to help the user to draw or write on the surface of the drawing pad.

Adding/Deleting tile to a drawing page The Bitcure VMR app allows the user to add multiple images on the same drawing page by dividing the page in to different tiles. Click on the or icon available on the right bottom of the main screen to add or delete a tile to a drawing page. The user can add up to 8 tiles in a page and use it to load multiple images on the page.

History of deleted tiles If a deleted tile contains any drawing or image, then the tile will be added to the history section. The user can retrieve the deleted image from the history section by clicking on it and load it back again to a tile in the drawing page. The user can hide the history section by clicking on the icon.

7. Loading checklist for a treatment procedure

The user needs to add a treatment procedure and a checklist associated with that procedure beforehand in the Bitcure VMR app in order to access it at the time of recording.

When the user clicks on the record button, the user is given the option to select the treatment procedure before starting the recording. The user can select one or more treatment procedure(s) that he is going to explain during the encounter and click 'Start' to initiate the recording. The checklist(s) corresponding to the treatment procedure(s) selected will be made available in the main screen of the Bitcure VMR app.

If the user selects 'None' from the list of the treatment procedures, then no checklist will be available in the main screen of the app. During the recording, the user is provided with the checklist for the treatment procedure selected during the start of the recording. The checklist includes all the main points the user should explain to the patient regarding the procedure during the encounter. The icon to access the checklist will be appearing on the top right hand corner of the main screen adjacent to the record button when the recording starts.

The user can access the checklist when the recording is in progress and can mark the checklist items he has discussed during the encounter. The checklist items marked as discussed will be highlighted in a different color. As a reminder to the user, a summary of the checklist is provided at the end of the recording which includes the details of the checklist items discussed and not discussed during the encounter. This helps the user to make sure everything is explained during the encounter.

The checklist and whatever actions the user performs on the checklist will not be a part of the final video recording of the encounter.

8. How to add a new treatment procedure and a checklist for the procedure

1. Navigate to 'Manage Checklists' option available in the main menu as in Figure below.

2. A screen pops up as in Figure below if the user is adding the treatment procedure for the first time in the Bitcure VMR app else the user has to click on the button on the top to add a new treatment procedure to the existing list of procedures

3. Enter 'Procedure name' and click

4. Click to add a checklist item to the procedure as in Figure below.

5. Enter checklist item and click as shown in the Figure below.

9. How to add an image to a checklist item in the checklist

1. Navigate to 'Manage Checklists' option available in the main menu as in Figure below.

2. Select the treatment procedure.

3. Select the checklist item to which image needs to be added.

4. Click the icon towards the right hand side of the checklist item as given in the Figure below.

5. Options to 'capture an image using Camera' or 'to use an image from the Photos gallery ' are shown in the Figure below.

6. Capture an image using camera. Click 'Use Photo' to add it to checklist item or

7. Access the photos gallery of the device and the selected image will be added to the checklist item.

10. How to edit a treatment procedure

1. Navigate to 'Manage Checklists' option available in the main menu.

2. Select treatment procedure and click 'EDIT'

3. Edit the procedure name and click as shown in the Figure below

11. How to edit a checklist item for a treatment procedure

1. Navigate to 'Manage Checklists' option available in the main menu.

2. Select the treatment procedure.

3. Click on the checklist item.

4. Edit the checklist item and click as shown in Figure below.

12. How to delete a treatment procedure and the checklist for the procedure

1. Navigate to the 'Manage Checklists' option available in the main menu.

2. Select the treatment procedure and click 'EDIT'

3. Click 'Delete' in the 'Edit procedure name'.

13. How to delete an checklist item from a treatment procedure

1. Navigate to the 'Manage Checklists' option available in the main menu.

2. Select the treatment procedure.

3. Click on the checklist item to be deleted.

4. . Click 'Delete' in the 'Edit checklist item' pop up.

14. How to delete an image associated with a checklist item

1. Navigate to the 'Manage Checklists' option available in the main menu.

2. Select the treatment procedure.

3. Select the image to be deleted associated with the checklist item.

4. Click as in the Figure below.

15. How to edit an image associated with a checklist item

1. Navigate to the 'Manage Checklists' option available in the main menu.

2. Select the treatment procedure.

3. Select the image to be edited associated with the checklist item.

4. Click on the image to get the options (camera or photos) to add the new image.

16. How to add an image from the image list to a tile

1. Perform long press on the tile on which the image needs to be added or click on the action menu on the top right hand side of the tile.

2. Select 'Change Image' from the menu options as in the Figure below.

3. Select the image from the image list and the image get added to the tile.

17. Add a photo available in the gallery to a tile

1. Perform long press on the tile on which the photo needs to be added or click on the action menu on the top right hand side of the tile.

2. Select the 'Change Image' from the menu options.

3. From the image list, select the option to go to the photo gallery as in the Figure below

4. Select the photo that needs to be added on to the tile.

18. Add a video available in the gallery to a tile

1. Perform long press on the tile on which the video needs to be added or click on the action menu on the top right hand side of the tile.

2. Select the 'Change Image' from the menu options.

3. From the image list, select the option to go to the video gallery as in the Figure below.

4. Select the video that needs to be added on to the tile.

19. Opening an image loaded in a tile in a new page

1. Perform long press on the tile or click on the action menu on the top right hand side of the tile.

2. Select the 'Open in Page' from among the menu options as in the Figure below.

3. The selected tile with the image gets loaded on a new page.

20. How to copy an image present in a tile

1. Perform long press on the tile on which the image is loaded or click on the action menu on the top right hand side of the tile.

2. Select the 'Copy Tile' from among the menu options as in the Figure below

21. How to paste an image copied from one tile to another in the same page

1. After copying the image from the tile, perform long press on the tile present on the same page on which the image needs to be pasted or click on the action menu on the top right hand side of the tile.

2. Select the 'Paste' option from among the menu options as shown in the Figure below.

22. How to paste an image copied from a tile to another page

1. After copying the image from the tile, add a new drawing page by clicking on the button on the top right hand side of the main screen.

2. Perform long press on the drawing page on which the image needs to be pasted or click on the action menu on the top right hand side of the page.

3. Select the 'Paste' option from among the menu options as shown in the Figure below.

23. How to paste an image between two tiles

1. After copying the image from the tile, perform long press on one of the tiles in between which the image needs to be pasted or click on the action menu on the top right hand side of the tile.

2. Select the 'Paste Left' or 'Paste Right' option from among the menu options as shown in the Figure below.

24. How to remove a tile from a page

1. To remove a tile, perform long press on the tile which needs to be removed or click on the action menu on the top right hand side of the tile.

2. Select 'Remove Tile' from among the menu options as shown in Figure below.

25. How to recover back a tile removed from a page

After a tile is removed from a page, it gets added to the history of deleted tiles section. The user can select the removed tile from the history and which gets added back to the page.

1. Select the History section found at the bottom panel in the main page as shown in Figure below.

2. Select the removed tile and it gets loaded back to the page.

26. How to take a photo and use it in the encounter

1. Take a photo using the camera icon found at the left hand bottom of the screen.

2. Click on the 'Use Photo' option to use the photograph taken as shown in Figure below.

3. Select a portion from the photograph, if needed, by clicking on the 'crop' option as shown in the Figure below.

4. After selecting the portion, click on the 'Crop Photo' to crop the portion from the photograph taken.

5. Click on the 'Use Photo' option to load the photograph on to a new tile or a new drawing page.

27. Using a photograph available in the device for the encounter

1. Click on the imagelist icon found at the left hand bottom of the screen.

2. Select the option in the image list to access photos gallery of the device.

3. Select a photo from the gallery.

4. Select a portion from the photograph, if needed, by clicking on the 'crop' option.

5. After selecting the portion to be cropped, click on the 'Crop Photo' to crop the portion from the photograph.

6. Click on the 'Use Photo' option to load the photograph on to a new tile or a new drawing page.

28. How to take a video and use it in the encounter

1. Click on the camera icon found at the left hand bottom of the screen.

2. Click on the 'VIDEO' option and then start recording by clicking on the record button.

3. Once the recording is complete, stop the recording by clicking on the record button.

4. Click on the 'Use Video' option to load the video on to the drawing pad.

29. Using a video available in the device for the encounter

1. Click on the imagelist icon found at the left hand bottom of the screen.

2. Select the icon present in the image list to access videos available in the device.

3. Select the video from among the videos available.

4. The selected video will be loaded on to the drawing pad.

30. How to start recording an encounter

To start recording the encounter follow the instructions below :

1. Click on the 'Record' button found on the top right hand side of the title bar of the main screen.

2. In the encounter information screen, enter patient identification details and select the treatment procedure(s) the physician is planning to discuss as given in the Figure below.

3. Click 'Start' to start the recording.

4. A pop up asking whether to allow screen recording is shown as in the Figure below. Select 'Record Screen & Microphone'.

5. The recording starts and screen will look as in the Figure below.

31. Skip patient id during encounter recording

During an emergency situation, physician can skip entering the encounter information details during the start of the recording.

1. Click 'Skip' button to skip entering the details as in the Figure below.

32. How to pause an ongoing recording

When the encounter recording is in progress, the user can pause the ongoing recording and resume the recording at a later point of time.

1. In order to pause the ongoing recording click the 'Pause' button in the title bar.

2. Once a recording is paused, then the screen will look like as in the Figure below.

33. How to resume a paused recording

The paused recording can be resumed by clicking on the 'Resume' button in the title bar. The discussions that happened in between the pause and resume will not be available in the final encounter video.

34. How to stop an ongoing recording

When the encounter is complete then the user can stop an ongoing recording.

1. The ongoing recording can be stopped by clicking on the 'Record' button.

2. The user should confirm whether to 'Stop Recording' of the encounter as shown in the Figure below.

3. Once the user confirms to stop recording, the user is provided with a checklist summary page which gives details on the points discussed and not discussed from the checklist for the procedure during the encounter.

4. Click 'Resume' to continue recording or Click 'Finish' to complete the recording as shown in the Figure below.

35. How to save the encounter video

After the encounter is complete, the encounter video needs to be edited and compressed to generate an optimal final video which can be shared with the patient

1. Click 'Save' The final encounter video generation process commences as in the Figure below.

36. How to start a new encounter recording while the previous one is still getting saved

The user can start a new encounter recording while the saving of the previous encounter is still in progress as in the Figure below.

1. Click 'Start a new recording'

2. In the main screen, click 'Record' to start.

37. Uploading the encounter video

The user is given the option to upload the final encounter video to a cloud based storage installed in the device. This is available at the right hand bottom of the screen as in Figure below.

1. Click 'Upload' option.

2. Select the cloud based storage system of user's choice installed in the device.

3. Follow the process to upload for the selected cloud based storage system to upload the final video.

38. Encounter Videos

All the encounter videos created by the user will be made available under the 'Encounter Videos' section in the main menu for future use.

1. The user can upload the video by clicking on 'upload' available in the video thumbnail.

2. The user can delete the video by clicking on 'delete' available in the video thumbnail.

3. The user can view the video by clicking on the video thumbnail.

39. Account Settings

The following options are available under the 'Account Settings' section in the 'Main Menu' for the user to select from.

Profile

The user can add new details or edit existing details present in their profile using this screen. The profile details like email id, first name, last name and user type will be pre-populated in the screen.

1. Enter the 'Mobile' number.

2. Enter 'Organization' details.

3. Click 'Update'

Change Password

1. Enter the existing password in the 'Old password'

2. Enter the 'New password'

3. Confirm 'New password'

4. Click 'Save'

Settings

A setting to delete the original encounter video from the gallery once the video is uploaded to the patient.

When this setting is ON the final raw encounter video which is available in the device gallery will be automatically deleted once the upload of the encounter video to the patient is done.
